Which Copilot have you actually got?

01One name, several different experiences

Two people can open something called Copilot at the same company and see different tools. One gets a web-grounded chat. The other can ask about meetings, files and emails across Microsoft 365. A third sees Notebooks or Agent Builder because their tenant is in a staged rollout.

The logo is the same, but the plumbing is different.

The useful split is simple:

• Microsoft 365 Copilot Chat comes with eligible Microsoft 365 subscriptions and can answer from the web. You can also upload a file or add content directly to a chat.
• A Microsoft 365 Copilot licence adds work-based chat that can use content your work or school account already has permission to access.
• Tenant features such as memory, Notebooks, agents and model choices can depend on rollout, region, admin settings and extra licensing.

02Run the 60-second check

Don't reverse-engineer the whole Microsoft price list. Answer four practical questions.

1. Are you signed in with your work or school account? This guide assumes you're signed in. The consumer Copilot product has different data and feature boundaries.
2. Can Chat use work content you haven't uploaded? If it can find an email, meeting or file through your Microsoft 365 permissions, you probably have work-based chat. Treat that as a clue, then confirm the licence.
3. Can you upload a safe file? Basic Copilot Chat can analyse supported files placed directly into the chat. Microsoft says uploaded files are stored in the user's OneDrive for Business and aren't used to train the model.
4. Do Personalization, Notebooks or Agents appear? Write down what you can actually see. Missing features can be rollout or tenant decisions, not user error.

The button test isn't proof of your licence. Menus move and features roll out gradually. Use the UI to orient yourself, then ask IT the precise question below.

03Use three access levels, then move on

If a step later in the guide carries an amber or blue label, take the fallback beside it. Missing a preview feature shouldn't stop the method.

04Send IT a question they can answer

“Why can't my Copilot do the good stuff?” is emotionally accurate and operationally useless. Give IT the account, features and work you need confirmed.

1. whether I have Copilot Chat only or a Microsoft 365 Copilot licence
2. whether work-based chat across Microsoft 365 data is enabled
3. whether Personalization and Memory are available in our tenant
4. whether Copilot Notebooks and Agent Builder are available
5. where our approved-use and data-handling policy lives

I'm trying to set up repeatable drafting and summarising workflows inside the approved Microsoft environment. I don't need any new access granted until I understand the current boundary.

The prompt intentionally asks for confirmation before access. It gives IT room to explain what exists without turning your first message into a procurement request.

05Leave model tribalism out of the setup

Copilot isn't one model wearing a Microsoft jacket. Microsoft handles the work context, permissions, safety controls and orchestration around whichever foundation model is available in that surface. The model menu can change by tenant and region.

For this guide, model choice is a dated product detail. Your durable skill is knowing how to provide the job, context, source, output shape and check. That works when the model changes underneath you.
